How to Support Your Team as a Coach ⚽🧑

Volunteering as a coach at Horsley FC is incredibly rewarding and plays a vital role in creating a safe, fun and supportive environment for our young players.

Any adult volunteering with children or young people (up to 18) must have two butideally three essential elements in place:

  • πŸ” A valid FA Enhanced DBS Certificate
  • πŸ›‘οΈ Completion of the FA Safeguarding Children Course
  • ⛑️ An FA Approved First Aid Qualification (main coaches and as many supporting volunteers as possible)

These requirements apply to all coaches without exception and ensure the safety and wellbeing of every child at the club.

Below, you'll find a simple step-by-step guide to help you through everything you need to get started.

Step 1: Create or Retrieve Your FAN Number πŸ”Ž

Before you can begin any DBS, safeguarding or coaching course, you must have a FAN number. This is your unique FA ID.

Instructions:

  • Visit the FA website to check whether you already have a FAN.
  • If not, create one using the online form.
  • Ensure you use the correct email address, as this will be needed for all future verification.

Step 2: FADV Email & Uploading Your ID πŸͺͺ

To be affiliated with Horsley FC, please email your FAN number and date of birth to the club safeguarding team at julie_atkinson68@me.com

This allows us to affiliate you to the club on the FA system.

The link will expire after a couple of weeks so please act promptly and check your Spam in the days following your email to the welfare team.

This is a self-validation application but in some instances you may be required to show original copies of your ID to the welfare team at their home or at the club.

Step 3: Safeguarding Children Certificate πŸŽ“πŸ›‘οΈ

While waiting for your DBS to clear (which may take up to 4–6 weeks), you should begin the FA Safeguarding Children Course using the link below:

The online course takes around 2 hours to complete and provides essential training on how to keep children safe in a football environment.

The course costs Β£30, which is fully refundable once completed. To receive your refund, please send your certificate along with your bank details to the club treasurer:

Step 4: Club Portal & FAN Photo Upload πŸ”—πŸ“Έ

Once your safeguarding course and DBS checks are underway, you must use the FA Club Portal to manage your safeguarding credentials. This ensures the FA and Surrey FA can verify your status and keep your records up to date. πŸ”

You will also need to upload a recent photo to your FAN profile. This is a compulsory requirement from Surrey FA and helps confirm your identity. πŸͺͺ

Once both of these steps are complete, you are fully cleared to move on. βœ…

Step 5: First Aid Qualification ⛑️

We ask all main coaches to complete an FA-approved First Aid qualification, and we strongly encourage as many other coaches as possible to do so. This helps ensure we have at least one FA First Aid–trained coach present at all matches and coaching sessions.

The course takes around 2–3 hours to complete and costs Β£30. This fee is fully refundable once you have finished the course - simply send your certificate and bank details to the club treasurer below.

Renewing Your DBS & Safeguarding Certificates πŸ”„

How to Renew Your DBS πŸ”

Your DBS is valid for 3 years. You will be notified well in advance when it is due for renewal, and the process is the same as completing a new application.

Coaching without a valid DBS or safeguarding certificate can result in suspension and match fixtures being withdrawn. To help the welfare team and avoid delays, please renew promptly when notified.
